Your Wedding Planning Guide for Western New York

Planning a wedding in Western New York? Whether you’re tying the knot in downtown Buffalo, at a lakeside venue in the Finger Lakes, or in the vineyards of Niagara county, this guide was made to help you simplify the chaos, stay ahead of the details, and actually enjoy the process.

We’ve worked with hundreds of couples across Western New York, and beyond. So we’ve seen the smooth ones, the slightly chaotic ones, and the “we-laughed-so-we-didn’t-cry” ones. Here’s what we’ve learned—and what we want you to know as you plan your day.

Let’s Start with the Big Picture: What You Actually Need First

You don’t need 17 color-coded spreadsheets.

You don’t need to plan every detail of the reception playlist today.

What you do need first? A few key decisions:

  • Your wedding date
  • Your ideal venue(s)
  • Your budget (even a rough one)
  • A rough guest count

Once you know these, everything else will fall into place faster. And honestly? With just those four things in mind, you’re ready to start reaching out to vendors.

The Best Photoshoot Spots in Western New York

One of the biggest questions we get from couples:

"Where should we take our engagement photos for our save the dates?"

If you're looking for something beyond your venue, here are some local favorites:

Hoyt Lake / Delaware Park: Elegant, natural, and easy to access. Timeless shots every season.

AKG Art Museum (Buffalo): Sleek, modern architecture. Great for chic and contemporary couples.

Cobblestone District / Canalside: Industrial textures, city vibes, and waterfront all in one.

Amherst Farmhouse: Beautiful private location with natural rustic barnwood. Perfect spot for intimate photos with a natural touch.

The Japanese Gardens: Peaceful, intimate, and totally unique. Especially beautiful in spring or early fall.

Knox Farm in East Aurora: For couples wanting stunning views of rolling hills and a clean, natural feel.

Not sure what fits your vibe best? During your consultation, we help you pick based on your style, timeline, and season.

Sample Wedding Day Timeline

Every wedding is different, but here’s a typical full-day timeline for couples who want photo and video coverage from start to finish:

10:00 AM – Getting Ready

Hair, makeup, details. We capture your dress, rings, flat lays, and candid behind-the-scenes.

12:30 PM – First Look

Private first look or family-first photos. This is a powerful, calm moment before the chaos starts.

1:00 PM – Couple Portraits

Photos of just the two of you, often at a separate location or nearby venue spot.

2:00 PM – Wedding Party & Family Portraits

Fun, fast, and full of energy. We keep this moving so no one melts or gets hangry.

4:00 PM – Ceremony

We shoot unobtrusively—your moments, your way.

5:00 PM – Cocktail Hour

We’ll sneak you away for a few golden hour shots if the light is perfect.

6:00 PM – Reception Begins

Introductions, dinner, speeches, and dancing. We capture the story without being in the way.

9:00 PM – Last Formal Shots

Cake cutting, last dances, and night shots if you want them.

10:00 PM – Coverage Ends

If you’ve got an epic exit planned, we’ll be there to catch it.

We customize this based on your timeline, but even just thinking through this order early helps your planning feel more manageable.

Before You Book Your Photographer: Things Every Bride Should Know

Let’s be honest: choosing your photographer is about more than style or budget. It’s about trust.

Here are a few things to consider before you book:

  • Do you actually enjoy being around them? You’ll spend more time with your photographer on your wedding day than almost anyone else. Make sure you click. (Pun 100% intended.)
  • Have you seen full wedding galleries? Instagram shows the highlight reel. Ask to see how they handle dark venues, rainy days, or wild dance floors.
  • What’s the turnaround time? You don’t want to wait 3+ months to see your photos. Ask what’s typical—and make sure it’s in the contract.
  • What’s their backup plan? Do they bring backup gear? Do they have 2 SD card slots? What happens if they get sick? Make sure they have a plan—and a team.
  • Are you getting photo and video? Watching our wedding video is one of our absolute favorite anniversary traditions. Many couples regret not having video. Ask about bundling both—it’s often more cost-effective, and keeps the visual style consistent across your media.

Pro Tips That Will Save Your Sanity

  • Make a “no” list: Everyone tells you what to include. But what don’t you want? Sit down together and list the stuff that doesn’t matter to you. That list will give you freedom.
  • Plan buffer time: Add at least 15–20 minutes between major events. Everything takes longer than expected—and your mood matters more than staying “on time.”
  • Get ready near natural light: It makes a huge difference in your getting ready photos. If you’re booking a hotel suite, ask for a room with big windows.
  • Assign someone to be your voice: Designate a “go-to” person (not you) to answer vendor questions on the wedding day. Could be a planner, a bridesmaid, or your wedding MVP cousin.
